Sugam ToolBox : UP Revenue (“the App”, “we”, “us”, or “our”) is an independent field-work and information tool. It is not affiliated with, endorsed by, sponsored by, or operated by the Government of Uttar Pradesh, NIC, or any other government entity. Government portals and the information available on them remain the responsibility of their respective owners and are the authoritative source.
This Privacy Policy explains what information the App handles, why it handles it, when information leaves your device, and the choices available to you. It applies to the Android App and to the support and service endpoints operated for it.
1. At a glance
- The App does not require you to create a username/password account.
- Photos, document scans, generated PDFs, GPS measurement sessions, report drafts, and most search/case history are stored on your device. They are not uploaded by the App as part of normal use.
- The App can contact public government portals at your request and can display them in an in-app browser. Those portals have their own privacy practices.
- When synchronization is enabled and used, limited reminder, favourite, and saved-report metadata is transmitted to our synchronization service using a random device identifier. The actual PDF/file bytes and local file paths are not synchronized.
- The App uses Google Maps for map display. Google Maps Platform and other service providers may process technical information needed to provide their services.
- The App does not use advertising SDKs, does not use the Android advertising ID, and does not request background location or microphone permission.
2. Information handled on your device
Information you enter or create
Depending on the features you use, the App may store the following on your device:
- land/revenue search details, such as district, tehsil, village, plot/khasra/khata details and selected public-record results;
- case, certificate, or application references and related details returned by a public portal;
- reminder titles, dates, types, linked case numbers, and linked khasra references;
- favourites, saved item labels, report titles, document filenames, field-note/report-draft content, and calculator preferences;
- GPS measurement points, areas, perimeters, manually chosen map points, and optional notes; and
- photos, document scans, QR contents, PDFs, and other files that you choose to create, import, or save with the App.
Some of this information may be personal or sensitive depending on what you enter or what a public portal returns. We designed the App to keep this information locally wherever possible. The App’s local database is encrypted at rest, and app-lock settings can use the device’s biometric/PIN facilities. We do not receive your biometric template; biometric authentication is handled by your device operating system.
Device and app settings
The App stores an app-generated random UUID, language/app settings, and app-lock settings. The UUID is not your hardware serial number, IMEI, advertising ID, phone number, or account ID. It is used to associate synchronization records with the same installation when synchronization is used.
3. Information transmitted off your device
We transmit information only for the following purposes:
A. Public government portals and external services you choose to use
When you search a supported public service or open an official portal, the request and any values needed for that portal (for example, a village, case, application, or record reference) are sent to the relevant public portal or service so it can respond. The App may present a portal in an in-app browser or open it in your system browser.
The in-app browser keeps the session cookies and local browser storage needed for the portal to function on your device. If you sign in, solve a captcha, make a payment, or submit information on a third-party portal, that interaction is between you and that portal. We do not operate those portals, and their privacy policies control their handling of your information.
B. Optional synchronization service
When the App’s synchronization feature is enabled and performs a sync, it sends a random device UUID and the changed synchronization records to our service. Current synchronized fields may include:
- favourite ID, portal key, record reference, label, deletion state, and modification time;
- reminder ID, title, type, due date/time, linked case number, linked khasra reference, completion/repeat/deletion state, and modification time; and
- saved-report ID, report type, filename, file size, label, deletion state, and modification time.
This is sent to provide cross-session synchronization and conflict resolution. PDF bytes, document/photo/scan bytes, file paths, GPS measurement points, report-draft contents, and local search/case history are not included in this synchronization payload.
Labels, reminder titles, filenames, and linked references can contain information that identifies a person or case if you choose to enter it. Please use care when naming reminders or documents. Do not include Aadhaar numbers, passwords, bank details, or other highly sensitive information in a reminder title or label.
C. Maps, app updates, and service security
The App uses Google Maps Platform for map display. Google Maps SDK may process technical/request information such as IP address, device and SDK metadata, crash metrics, a pseudonymous SDK identifier, and map interaction information, as described in Google’s then-current Maps SDK documentation and Google Privacy Policy.
The App may use Expo’s update service to check for compatible app updates and Cloudflare-hosted services for configuration, synchronization, rate limiting, and service protection. These providers can process technical information such as IP address, request metadata, device/app version, and security tokens as necessary to deliver and secure the service. We use HTTPS for production service traffic.
Document scanning is performed on-device using Google ML Kit’s document-scanner capability. The App does not upload scanned images to us as part of scanning. We review third-party SDK disclosures when SDK versions change and update this policy and our Google Play Data Safety disclosure when required.
4. Permissions
The App asks for permissions only when you use the related feature:

You can deny or revoke these permissions in Android Settings. Features that depend on a permission may then be unavailable or have reduced functionality.
5. How we use information
We use the information described above to:
- provide land-measurement, calculator, capture, PDF, reminder, search, and portal-access features;
- retain your local work and preferences on your device;
- synchronize the limited records described in section 3B when that feature is used;
- keep services secure, prevent abuse, troubleshoot failures, and maintain compatibility; and
- respond to support, privacy, and deletion requests.
We do not sell personal information, use it for targeted advertising, or use it to make automated decisions about you. We do not use the Android advertising ID and do not include an advertising SDK in the App.
6. When information is shared
We share/transmit information only as described in this policy:
- with the government/third-party portal or service that you choose to access;
- with our infrastructure providers (including Cloudflare and Expo) to operate and protect the service;
- with Google Maps Platform to display maps and provide related map functionality; and
- when you explicitly use Android’s share function, with the app or recipient you select.
We may also disclose information if required by applicable law, a valid legal process, or to protect users, the public, or our service from fraud, abuse, or security threats.
7. Retention and deletion
On your device
Local records remain on your device until you delete them in the relevant feature, clear the App’s storage in Android Settings, or uninstall the App. The App is configured not to participate in Android backup, so an uninstall normally removes its local app data. You are responsible for files you share or export to another app/location.
Synchronization records
Synchronization records remain in the synchronization service while they are active and needed to provide synchronization. A deletion made through synchronization is represented by a temporary deletion marker so the deletion can propagate; the service is designed to purge those markers after 30 days. We may retain limited technical/security records for a longer period when reasonably necessary for security, fraud prevention, legal compliance, dispute handling, or system integrity.
To request deletion of synchronization records or ask a privacy question, email sugamedutech@gmail.com with the subject “Privacy or data deletion request — Sugam ToolBox”. Describe the information and device/install involved as precisely as possible. Because the App has no user account, we may need enough information to locate the relevant random device identifier and to verify that the request relates to that installation. We will respond in accordance with applicable law.
8. Security
We use reasonable technical and organizational measures designed to protect information, including encrypted local database storage, operating-system secure storage for sensitive app-lock material, signed update/configuration mechanisms, HTTPS for production service traffic, and access controls for service infrastructure. No method of storage or transmission is completely secure, so please do not place secrets or highly sensitive identifiers in free-text labels, reminder titles, or public-portal search fields unless necessary for that official service.
9. Children
The App is a field-work and reference tool and is not directed to children. Do not use the App to submit a child’s personal information unless you have the authority to do so and the relevant public service requires it.
10. Your choices and rights
Subject to applicable law, you may request access to, correction of, or deletion of personal information we control. You may also:
- decline camera, location, or notification permissions;
- remove local records using the App where that control is available;
- clear the App’s data or uninstall it; and
- use your device’s browser rather than the in-app browser for an external portal.
If you are dissatisfied with our response to a privacy request, you may have additional rights or a right to complain to the relevant data-protection authority under applicable law.
11. Changes to this policy
We may update this Privacy Policy when the App, its services, or legal requirements change. We will publish the updated policy with a new “Last updated” date. If a change materially affects how we handle information, we will provide additional notice where required by law.
